Help with automation - are fillable pdfs best?

  I have inherited a corporate gig(nightmare) where there are 40 print templates(postcards, ads etc) our sales force use as tools. At the moment they request the files and email in their contact details - which are then manually input into the Indesign master templates. Too much time is being lost doing this and chasing them for contact info they overlooked.

  We need to automate so the sales team can simply just input directly and then print/forward for print independently.

  Are fillable pdfs best/only method for this? Can the text fields check the number of digits input etc - kind of like what happens when you purchase online and forget a digit in your card number.
